Entering Drug Information

When entering a new script, select the drug that was prescribed as well as the drug that is being dispensed. In some cases these drugs may be different (e.g., when a brand medication was prescribed by the doctor but you are dispensing a generic drug instead).

You can select a drug using either the keyboard or a barcode scanner. You can do a typical search by typing part of the drug's name (or NDC number) into the search fields, or you can scan a drug's barcode to start a search. If multiple drugs match your search, you can use the arrow keys to select the correct one. If you scan the drug bottle and there is only one drug matching that barcode, it will be selected automatically.

 

 

How Do I Enter the Prescribed Medication?

The Prescribed medication is the drug that has been prescribed by a doctor. Follow the instructions below to enter this information.

 

1.In the Prescribed field, enter part of the drug's name or NDC number to begin a search (or you can use a barcode scanner to search for the correct drug). A drop-down menu will appear with a list of drugs matching your search information.

2.Use the arrow keys to select the correct option from the list and press Enter.

 

If a Dispense Quantity has been entered for this medication in the Drug maintenance screen, the number of units contained in one package will be shown in the Package Size field.

 

 

How Do I Enter the Dispensed Medication?

The Dispensed medication is the drug that is being dispensed to fill the prescription. Follow the instructions below to enter this information.

 

1.In the Dispensed field, you can enter part of the drug's name or NDC number to begin a search (or you can use a barcode scanner to search for the correct drug). A drop-down menu will appear with a list of drugs that match the Prescribed Drug you selected. (For more information on matching the Prescribed drug, see the section below.)

2.Use the arrow keys to select the correct option from the list and press Enter.

 

If the Dispensed drug that is chosen is assigned to a pill dispensing machine, an option will appear for the script to be sent to the robot. (You can uncheck this option if the script should NOT be sent to the dispensing machine.) For more information on this process, see the Robots chapter.

 

 

How Dispensed Drugs are Matched to Prescribed Drugs:

When you search for a drug in the Dispensed field, ProPharm will show you search results that match the Prescribed drug. In most cases, drugs that match the Prescribed drug's GPI (all 14 digits) will be shown in the Dispensed search. However, you can click on the "14" button to the right of the field to switch the filter to "10." This will allow you to search for drugs that match the Prescribed drugs first 10 digits. (This means it will match in everything except Strength and Dosage.)

 

NOTE: If a script is entered manually and the Prescribed drug that is selected has no GPI, the Dispensed drug search results will match based on the Drug Type and not a GPI number. If an electronic order is being processed and the order has no GPI, there will be no filter and users can select any drug in the Dispensed field.

 

 

How Do I Add a New Drug?

If you need to add a drug that is not currently in your records, you can click on the plus (+) symbol next to one of the drug fields. This will allow you to add drug records just as you would in the Drug maintenance screen.

 

In the Prescribed field, clicking the plus (+) symbol will open the "Create New Drug" window. From here, you can add a new Drug Type (GPI).

 

If you have already selected a Prescribed drug but there are no NDC options found in the Dispensed field that match that Drug Type, you can click on the plus (+) symbol there to open the "Adding New Drug" window. From this window, you can add a new Drug (NDC) to the Drug Type.

 

When you already have a drug selected, a pencil icon will appear next to the field. You can click on this icon to edit a drug's record.

 

 

What if there are Duplicate Drugs?

Usually, when you scan a barcode to enter the Prescribed drug in the filling screen, ProPharm will select the correct drug automatically. But sometimes your pharmacy may have two records for the same Drug Type. If both records are listed as "Active," and you scan a barcode to select one of the drugs, a search list will appear instead. Use the arrow keys to select the right drug and then press Enter.
