Requesting Refills

From the Preview window, you can send refill requests to prescribing doctors. (This option will also appear automatically whenever you attempt to refill a script that has no quantity due.)

How Do I Request Refills for a Script?

To send a refill request:

 

1.Go to the Script Filling screen and choose a patient.

2.Choose the correct script in the Patient Profile and click Preview Script.

3.Click on the Options button and select Manage Refill Requests. The Refill Requests window will open.

4.Click on the New Request button. This will open a new Refill Request window.

5.The Doctor field will show the name of the doctor tied to the original order. You can search for another doctor if necessary.

6.You can also add any necessary Notes.

7.Enter the number of refills you are requesting in the Refills Requested field.

8.Next, you can choose one of the following options:

a.Print Request: You can print a refill request to give to the customer or to fax to the doctor.

b.Clinic Request: This option can be used to send electronic requests to your local clinic. To use this option, an interface will need to be set up and the clinic will need to be marked with the "Local Doctor" setting. (For more information on this type of request, contact our support staff.)

c.Internet Request: You can click on this button to send a refill request electronically through Surescripts.

 

"Internet" and "Clinic" refill requests cannot be completed if the NDC for the fill cannot be found in the Medi-Span database. This is due to a requirement from Surescripts. The doctor must also be a Surescripts doctor.

 

 

Can I Void a Refill Request?

If you have already sent a refill request for a script and you need to void it, you can follow the steps below.

 

1.In the Script Filling screen, find the correct patient and open the Patient Profile.

2.Choose the correct script and click on the Preview Script option.

3.Click on the Options button and select Manage Refill Requests. The Refill Requests window will open. If a request has already been submitted, the status of that request will be shown.

4.If you want to void the previous request you can click on the Deny button.

 

You also have the option to Approve the request from this window. If you were notified by the doctor that the request has been approved and you need to signify this on the request, you can use this option.

 

5.The "Denied Refill Request" window will appear. Enter a Reason for voiding the request. (You can search for a reason in the Reason Code field or you can enter a free-text reason into the Reason Text field.)

6.Click Submit.

7.If you want to send a new refill request after voiding the last one, you can click on the New Request button.

 

 

How Do I Roll Over a Script?

From the Refill Request window, you can also Roll Over a script. This means that the original script will be discontinued and a new script will be created. For more information on script rollovers, see the Rolling Over Scripts chapter.

 

 

How Do I View Past Refill Requests?

If you want to view the history of Refill Requests that have been submitted for this script, you can click on the Options button and select the Manage Refill Requests option. Any past requests for this script will be shown, along with the request's current status (Denied, Approved, Out to Doctor, etc.). If there is an outstanding request, you can choose to Deny or Approve the request from this window.

 

For printed refill requests, you can also choose to Reprint a previous request.
