ProPharm can interface with an automated pill dispensing machine. If you would like to set up a service to do this, please contact our support staff. After this service has been set up, you can follow the instructions below to set up ProPharm to use a pill dispensing robot.

How Do I Add a Robot Record?

1.Click on the System menu item.

2.Select Robots. The Robot Maintenance screen will open.

3.Click on the Add New Robot option.

 

ProPharm only supports the use of one robot.

 

4.Enter a Name for the robot (e.g., Parata).

5.In the Interface field, search for the robot's sending interface. (If you need assistance setting up a robot interface, please contact our support staff.)

6.Make sure the Active checkbox is marked.

7.Click Save.

 

 

How Do I Add Drugs to a Robot?

After you have set up a robot, you can choose which drugs will be added to that robot. Whatever drugs are being physically added to the machine can be assigned to the robot in ProPharm. To mark that a drug has been added to the robot:

 

1.Click on the Maintenance menu item.

2.Select Drugs. The Drug Maintenance screen will open.

3.Search for the correct drug in the Search Drug field.

4.After you have selected the drug, click on the Robots tab. Under this tab, you will see a list of all the NDCs that are attached to this Drug Type.

5.Click on the NDC that is being added to the robot. Then click on the Add Drug Robot button. This will mark this specific NDC as being inside the robot.

 

When a user chooses a Dispensed Drug in the Script Filling screen, if the drug being dispensed is marked as being inside the robot, the user will have the option to send that script to the robot to be dispensed. This will start the Workflow process required for dispensing from the robot.

 

 

How Do I Set Up Robot Workflow Stages?

To manage scripts that are being sent to a dispensing machine, you will need to set up Workflow stages. As with all Workflow setup, you can customize your Workflow stages to meet the specific needs of your pharmacy. However, the typical Robot Workflow Stages are described below. These stages (or something similar) will be necessary in most cases where a dispensing machine is being used.

Send To Robot

This stage will hold scripts that have been entered in the Script Filling screen and have been marked to be sent to the pill dispensing machine.

 

Entry Requirements:

oScript Entry

oRobot: Fill Destined for Robot (status)

 

Tasks:

oRobot Send/Send to Robot

 

Scripts that are going to be sent to the robot will be listed in this stage. You can select a script from the list in the stage and send it to the robot. A message will be sent to the dispensing machine and the fill will be handled from there.

 

 

Robot Failed Events

This stage will hold scripts that were sent to the robot but encountered some type of issue. If the robot was unable to dispense the fill for some reason, a message will be sent back to ProPharm. Scripts in this scenario can be held in the "robot failed" stage.

 

Entry Requirements:

oScript Entry

oRobot: Failed or Canceled Fill (status)

 

Tasks:

oRobot Send/Send to Robot

 

 

How Do I Send Scripts to the Robot from the Script Filling Screen?

If your pharmacy has an active robot record, users will have the option to send scripts to the dispensing machine from the Script Filling screen.

 

For the Send to Robot option to appear in the Script Filling screen, you will need to have a robot record set up and marked as "Active." You will also need the Dispensed drug to be a NDC that is marked as being in the robot.

 

When choosing a Dispensed drug in the Script Filling screen, if you have an active robot in your system, the drug search window will show a Robot column. Any NDC that is marked as being inside the robot will show the name of the robot in that column.

 

If you select a drug that is inside the robot, a Send to Robot option will appear next to the Dispensed drug field. (This option will be checked automatically, but you can un-check it if you do NOT wish to send the drug to the robot.)

 

When you complete the script, if the Send to Robot option is selected, the script will begin the Workflow process and will be marked as "Destined for Robot."
